POSITION SUMMARY

The Finance Administrative Assistant supports the financial operations of Grandview, MO by providing administrative, clerical, and technical assistance to the Finance Department. This role ensures the smooth processing of financial documents, accurate recordkeeping, and excellent customer service to internal departments and the public. This position reports to a Senior Accountant and the Finance Director.

Job Responsibilities (Include, but not limited to):

  • Prepares all invoices for payment processing in financial management system, prepares bi-weekly manual checks, bi-monthly bill schedule and distributes accounts payable checks
  • Provides training and technical assistance to departments on accounts payable invoice and purchase order processing
  • Reviews employee travel requests for compliance with the City travel policy
  • Assists with the annual financial audit process by responding to informational inquires and providing various supporting financial schedules
  • Assists with preparing various General Ledger JE's as needed and requested by other departments
  • Provides maintenance of the financial management system for W-9 processing and vendor management
  • Oversees the ordering of paper for the City and office supplies for the Finance Department
  • Oversee Purchase Manager Report
  • Oversee the disposition of the City’s surplus property and coordinate with Auction Company
  • Assists the Purchase Manager with various purchasing issues in the Purchasing Manager’s absence
  • Manages all Business License applications for the City
  • Manages the collection of various delinquent sewer accounts
  • Processes KC Reciprocal Payment for BOA Approval
  • Oversees all City Mobile Phones
  • Manage the 1099 Process and issue all required 1099's each calendar year
  • Provides administrative support to the Finance Department as needed
  • All other duties as assigned


Minimum Qualifications:

  • High school diploma or equivalent
  • Must successfully pass a background and reference checks


Preferred:

  • An Associate’s or Bachelor’s Degree with major course work in Business Management, Finance, or Accounting
  • Prior experience in an administrative or financial role, preferably in a government or municipal setting


Physical Demands & Work Environment:

Mobility to work in a standard office environment, use standard office equipment and attend off-site meetings. Sit at a desk for long periods of time; intermittently walk, stand, bend, squat, twist, and reach while performing office duties. Manual dexterity to use standard office equipment and supplies. Vision to read handwritten and printed material and a computer screen; hearing and speech to communicate in person and by telephone; ability to lift and carry items weighing up to 25 pounds such as files, manuals, or equipment. Tasks are regularly performed in safe and comfortable surroundings without exposure to adverse environmental conditions

 

Pay & Benefits: 

$17.92 - $23.32 hourly, depending on qualifications.
